Refund and cancellation policy

Scope

This policy applies to professional engagements with API Integration Lab — grant compliance financial audits, readiness reviews, mid-grant sampling, close-out reviews, and findings remediation support. It does not cover goods, subscriptions, or software licences, which we do not sell.

Deposits

A 30% deposit confirms the fieldwork window stated in the planning memo. The deposit is applied to the final invoice.

Cancellation by the client

• More than 14 days before fieldwork start: full refund of the deposit, less any documented third-party travel already purchased at your request.
• 7–14 days before fieldwork: 50% of the deposit is refundable.
• Fewer than 7 days before fieldwork, or after document staging has begun under our checklist: the deposit is non-refundable.

Work already started

Once sampling, interviews, or working-paper preparation has started, fees for time incurred are payable even if you cancel the remaining scope. We will invoice actual hours at the rates in the engagement letter, capped at the agreed fixed fee for completed portions.

Rescheduling

One reschedule with at least 10 days’ notice is accepted without charge, subject to auditor availability. Later or repeated reschedules may incur a rescheduling fee of up to 10% of the engagement fee.

No-shows

If key client contacts are unavailable for agreed on-site days without 48 hours’ notice, that day may be billed as incurred and a new date scheduled.

Partial refunds after delivery

Completed findings letters and delivered readiness reports are non-refundable. If we materially fail to deliver the scope in the signed memo, contact us within 14 days of delivery; we may remediate the work or refund the unused portion of fees at our discretion after review.

Refund method and timing

Approved refunds are returned to the original payment method within 14 business days of written approval. Bank transfer fees charged by intermediary banks are deducted where unavoidable.
